Payment Information

When you purchase a membership or any paid service, your payment details are processed by our third-party payment processor, Stripe. This means that we do not collect or store your full credit/debit card numbers or bank account information on our servers. Your payment card information is entered on secure Stripe forms, and Stripe directly receives and processes this data on our behalf. We may receive certain transactional details from Stripe — such as your name, the last four digits of your card, billing address,
email, the payment amount, and a confirmation of payment — but we do not have access to your full card number or security code. Payment transactions on our site are thus handled externally via Stripe for enhanced security. (Please refer to Stripe’s privacy policy for details on how they handle your

Affiliate Program Information

If you choose to join our affiliate program (to promote QuantMinds and earn commissions), we will collect information needed to register and compensate you as an affiliate. a third-party platform called Rewardful. Rewardful may set cookies to track referrals and will collect information about the referrals you generate (such as when someone you referred signs up for our membership). referral link) so we can attribute commissions, but we do not share unnecessary personal data with affiliates — typically, affiliates will see aggregate or anonymized info about their referrals.

Keep in mind that any content you share in these community forums is visible to other authorized community members. We advise caution when sharing personal information in these venues. We may
monitor discussions on our community platform to ensure compliance with our Terms of Use and community rules (for example, to prevent harassment or misuse), and we may retain chat logs or postings as needed to enforce our rules and maintain a safe environment. Slack, Inc. will also process any data

  • Payment Processor (Stripe): As noted, Stripe processes all payment transactions for QuantMinds. When you make a purchase or subscription payment, your payment details are transmitted to Stripe. Stripe uses that information to authorize and complete the payment, and then tells us whether the payment was successful. We share with Stripe the necessary information to process the payment (such as your order amount, currency, and perhaps your email or customer ID to tie the payment to your account). Stripe in turn shares with us confirmation and certain details of the transaction (e.g. last4 of your card, card type, expiration, and a transaction ID). Stripe is PCI-DSS compliant and is responsible for safeguarding your payment data on their systems. We recommend reviewing Stripe’s Privacy Policy to understand how they handle your information. We do not store your full payment credentials on our own servers.
 
  • Customer Relationship Management & Form Hosting (HubSpot): We use HubSpot as a platform for managing customer relationships, hosting web forms, and email communications. Once you join, your interactions on Slack are subject to Slack’s own privacy controls. We (as workspace administrators) can see information you share in Slack, including your profile (name, display photo if any) and messages in the channels we administer. Slack acts as a host for this data; we do not extract or repurpose your Slack communications outside of the community context, except as needed to enforce rules. We may moderate content on Slack to ensure it meets our guidelines, and in rare cases we might need to share certain communications with authorities if they violate laws or pose risks (for example, evidence of fraudulent activity or threats). Generally, though, Slack is a platform where you voluntarily share information with other members, so any data you provide there is inherently disclosed to those participants by your own action.
 
  • Affiliate Management (Rewardful): We utilize Rewardful to operate our affiliate referral program. Rewardful sets tracking cookies and processes referral data to determine when an affiliate has referred a new customer. When an affiliate signs up to our program, that individual’s information (like name, email, and payout details) is stored in Rewardful’s system on our behalf. When a customer arrives via an affiliate’s link, Rewardful may place a cookie or use an identifier in the URL to log that referral. If that customer then purchases a membership, Rewardful links the purchase to the referring affiliate so we can credit the commission. This necessarily means Rewardful sees some data about the purchase — typically an internal customer ID or order ID and the amount — which they use to calculate the commission. They might also receive the new customer’s email or user ID in the process (to prevent duplicate counting). We have a data processing agreement with Rewardful to ensure compliance with privacy laws. Rewardful will not use referral data for any purpose except running our affiliate program. Affiliates may see limited information via the Rewardful dashboard about their referrals (for example, the date of a sale and the product purchased, possibly the first name or an anonymized identifier of the customer), but they do not get full access to referred customers’ personal details through our program.
 
  • Analytics and Advertising Partners: We use third-party analytics services (like Google Analytics) to collect usage data, as described under Cookies and Tracking. These partners receive certain information via their cookies or scripts on our site — such as your IP address, device info, and browsing behavior. Your Opt-Out Rights: You can opt-out of all analytics and any advertising- related data processing through our cookie settings. We also honor Global Privacy Control (GPC) signals and provide direct opt-out links for major advertising platforms in our cookie policy. Please refer to those third parties’ privacy policies (e.g. Google’s privacy policy) for details on their data practices and additional opt-out mechanisms.

  • Hosting and Infrastructure: QuantMinds may host its website on third-party servers or use cloud service providers to store and process data (for example, Amazon Web Services or similar hosting companies). These infrastructure providers will inevitably process any data that flows through our site (including potentially your personal data in databases or logs), but they do so under strict security and confidentiality controls. They do not access your data for any purpose other than storage or computing at our direction.

They should inform you of any additional privacy terms on their side if you proceed in their process. If, at any time, you no longer want us to share your info with employers, please notify us and we will stop.

For instance, if a university partner wants to offer its students access to our platform, we might coordinate with that university’s designated staff and possibly share aggregated data on student participation. Or if a company requests a curated list of candidates for a role, we will share the candidates’ details with that company only after obtaining those candidates’ consent to be put forward.

Regulatory Compliance: While we maintain maximum flexibility in business transactions, any data transfers will comply with applicable legal requirements at the time of transfer. However, compliance will be determined based on the specific circumstances of each transaction and applicable law at that time.

6. Aggregated or De-Identified Information

We may share information that has been aggregated (combined with other users’ data) or de-identified (stripped of personally identifying elements) in such a way that it can no longer be associated with you. This type of data is not considered personal and may be used freely. For example, we might publish trends or insights like “X% of our members are interested in machine learning roles” or “We have members in Y number of countries,” or share statistics with partners to demonstrate the reach and composition of our
community. These reports will not contain any information that can identify any individual. We may also disclose aggregate usage metrics (e.g., site traffic numbers or survey results) to research partners or in marketing materials.

No Sale, Sharing, or Processing of Personal Information for Targeted Advertising

We Do Not Sell Personal Information: QuantMinds does not and will not sell your personal information to third parties. We have never sold personal information in the past, we do not currently sell personal information, and we have no plans to sell personal information in the future. This applies to all users regardless of age or location.


We Do Not Share for Cross-Context Behavioral Advertising:
We do not share, rent, or otherwise disclose your personal information to third parties for cross-context behavioral advertising or targeted advertising purposes. Any advertising partnerships we engage in are strictly limited to contextual advertising based on the content you’re viewing, not behavioral profiling across websites.


We Do Not Process for Targeted Advertising:
We do not process your personal information for targeted advertising purposes, nor do we allow third parties to process your personal information for such purposes through our services.


Clarification Under Privacy Laws:
Under various state privacy laws (including the California Consumer Privacy Act (CCPA), Virginia Consumer Data Protection Act (VCDPA), Colorado Privacy Act (CPA), Connecticut Data Privacy Act (CTDPA), and similar laws):

● We do not “sell” personal information as defined by these laws.
● We do not “share” personal information for cross-context behavioral advertising.
● We do not process personal information for “targeted advertising” as defined by these laws.
● We do not engage in “profiling” that produces legal or similarly significant effects.

Business Operations Flexibility: We maintain full discretion over our business operations, including but not limited to data handling practices, privacy policies, service offerings, and business partnerships. Any acquiring party in a business transaction will have similar flexibility to operate as they determine appropriate.

Global Privacy Control (GPC): We recognize and honor Global Privacy Control (GPC) signals as an opt-out request for any activities that might constitute “selling,” “sharing,” or “targeted advertising” under applicable privacy laws.

Third-Party Services and Links

Our website and services incorporate or link to content from third parties that are outside of our control. For example, our site features links to external sites such as our pages on LinkedIn, X (Twitter), and BlueSky social platforms. If you click those links or interact with those widgets, you will be directed to third-party websites which have their own privacy policies. We are not responsible for the privacy practices of those external sites or services, and we encourage you to review their policies before sharing any information.

Additionally, certain features of our site rely on third-party integrations. For instance:

● If we embed a YouTube video or another media from a third-party site, that third party may collect data about your video views through their player. 

● Our affiliate sign-up process takes you to a Rewardful domain to complete registration. Any data you enter there is collected by Rewardful on our behalf, but you should be aware you are effectively interacting with a third-party service.

● Our Slack workspace is accessed via Slack’s application or website. Any information you provide to Slack is governed by Slack’s terms once you leave our site, though we still expect our community members to respect privacy and confidentiality as per our rules.

● We use Google reCAPTCHA on certain forms (if implemented) to prevent spam and abuse. This service would collect hardware and software information (like device and application data) and send it to Google for analysis. Google’s use of this data is covered by the Google Privacy Policy.

We will do our best to disclose when you are being transferred to orinteracting with a third-party service as part of using QuantMinds. However, please exercise caution and diligence: any time you leave our site or provide information to a third-party (even one linked or affiliated with our service), your information is subject to that third party’s rules. We are not responsible for how those parties collect or use your data, but we welcome feedback if you encounter any third-party integrated with our service that you feel is compromising your privacy.

Data Security

We implement appropriate technical and organizational measures to protect your personal information and keep it secure. This includes industry-standard security practices to guard against unauthorized access, alteration, disclosure, or destruction of data. For example:

● Our website uses HTTPS/TLS encryption for all data transmissions. This means that information you submit on our site (such as form entries or login credentials) is encrypted in transit to prevent eavesdropping. 

● We store personal data on secure servers, and we restrict access to those servers and databases. Only personnel who need access to your data to perform their job (for example, support staff or developers
debugging an issue) are allowed, and they use authenticated, encrypted channels.

● Passwords (if any are stored for your account) are hashed and salted — we never store plaintext passwords. We also encourage you to choose a strong, unique password and keep it confidential. (Note: If we use a third-party identity provider or if accounts are managed via Slack OAuth, those external systems have their own secure authentication process as well.)

● We maintain firewalls and monitoring systems to detect and block suspicious activity on our network. Our systems are regularly updated with security patches to mitigate vulnerabilities.

● For payments, as noted, we delegate to Stripe, which is a PCI-compliant service — thus, the handling of sensitive financial information is kept to a trusted, secure infrastructure.

● We periodically review our information collection, storage, and processing practices, including physical security measures, to guard against unauthorized access to systems. 

● If we engage vendors or processors, we ensure they commit to strong security standards as well.

However, it’s important to understand that no method of transmissionover the Internet, or method of electronic storage, is 100% secure. While we strive to protect your personal data, we cannot guarantee absolute security. Cyber threats evolve rapidly, and although we work hard to prevent breaches, we cannot promise that your data will never be compromised (for example, by events such as unforeseen software vulnerabilities or sophisticated attacks). You share and transmit information at your own risk. 

In the unfortunate event of a data breach that affects your personal information, we will act promptly in accordance with applicable laws. This means we will notify the affected individuals and relevant authorities as required — for instance, if a breach meets the legal threshold for notification under GDPR or state laws, we will inform you without undue delay, describing the nature of the breach and the steps we are taking to address it.

We also advise you to take precautions on your end. Protect your account credentials and do not share them. If you use a shared or public computer, log out from our site when you’re done. Be mindful of phishing attempts — QuantMinds will never ask you for sensitive information (like passwords or credit card details) via unsolicited emails. If you suspect any unauthorized activity or security issues related to your account, please contact us immediately at privacy@quantminds.com.

Data Retention

We will retain your personal information only for as long as necessary to fulfill the purposes for which we collected it, including for the purposes of satisfying any legal, accounting, or reporting requirements. In general: 

Account and Membership Data: If you have an account or active membership with QuantMinds, we will keep your personal data for as long as your account is in use or your membership is active. This ensures we can provide services to you continuously. If you decide to cancel your membership or delete your account (or if we terminate it per your request or our Terms), we will either delete or anonymize your personal data within a reasonable period, except as noted below for data we may need to keep. If an account is inactive for an extended period, we may contact you to ask if you want to maintain it; if not, we may close the account and delete associated data.

Transaction Records: We retain records of purchases, payments, and invoices for at least the minimum duration required by tax and financial regulations. In the US, this is typically 7 years for financial records. Even if you delete your account, we may need to keep certain information about payments (e.g. in our Stripe records or accounting files) for this period. However, this retained data will generally be limited to what is necessary (e.g. receipt info) and not accessible on the live site.

Communications: If you contact support or correspond with us, we may retain those communications for a period of time to ensure we have a history of your issue and how it was resolved, and for training or quality assurance. Typically, support tickets and email correspondence might be stored for a couple of years unless you request deletion (where feasible).

Resume and Service Data: If you submitted a resume for review or participated in recruitment services, we will keep that information for as long as needed to provide the service and potentially to follow up with you about outcomes. For example, if your resume was shared with employers, we might keep notes of that process. If you want us to delete a resume or related data after the service is complete, you can ask us. Otherwise, we might keep it in case you return for an updated review or to track success metrics (in an aggregated manner). 

Community Content: Content that you post in our Slack community or other public forums might be retained indefinitely within those platforms (Slack messages persist unless deleted). We do not systematically export or store Slack content outside of Slack. If you leave the community and wish for certain posts of yours to be removed, you can delete them directly in Slack or request our assistance, though note that responses or quotes by others may remain. We’ll follow Slack’s retention capabilities and our own community guidelines in handling such data.

Analytics Data: Data collected via cookies and analytics is typically retained as long as the cookie is valid or as long as needed for analysis. For instance, Google Analytics retains aggregated site data for a certain period (often 14 months or more, configurable). We ensure that any user-level data in analytics is either deleted or anonymized after a reasonable period. Cookies themselves expire after set durations (see our Cookie Policy for specific lifespans). You can also clear cookies from your browser at any time to remove tracking. 

Legal Hold: If we are under a legal obligation to retain data (for example, due to a law enforcement request, ongoing litigation, or for auditing purposes), or if retention is advisable to protect our rights (such as keeping records of a user who was banned for violating terms), we will retain the specific data as needed even if it goes beyond the usual retention periods. We will securely store such data and isolate it from regular use. 

When we no longer have a legitimate need to retain your personal information, we will securely dispose of it. This may involve erasing the information or anonymizing it so that it can no longer be associated with you. For backup and archival copies: our systems might keep backups that include your data for a short period beyond deletion (e.g., our database backups may keep data for 30-60 days). If we delete your data from the main database, it may remain in encrypted backups until those are rotated out; we treat that data as protected and ensure it’s not restored unless absolutely needed.

Your Rights and Choices

You have various rights regarding your personal information and the way we handle it. We are committed to honoring your rights under applicable privacy laws. Below, we outline key rights and how you can exercise them. Please note that the availability of these rights can depend on your jurisdiction (for example, GDPR grants certain rights to individuals in the EEA/UK, CCPA grants rights to California residents, etc.), but QuantMinds extends many of these core principles to all users as a courtesy, wherever feasible.

1. Access and Portability

You have the right to request access to the personal data we hold about you. This is sometimes called a Data Subject Access Request. Upon verification of your identity, we can provide you with a copy of the personal information we have on file for you, in a common electronic format. For instance, this may
include data like your profile info, contact details, membership history, and communication logs. For EU/UK users, you also have the right to request that this information be provided in a portable format (i.e. a structured, commonly used, machine-readable format) so that you can transfer it to another service if desired.

2. Correction (Rectification)

We strive to keep your information accurate and up-to-date. If you notice that any personal data we have is incorrect or incomplete, you have the right to request a correction. For example, if your name was misspelled or your email has changed, you can ask us to update it. Much of your basic account info can also be corrected by you directly by logging into your account settings (if applicable). If you have trouble updating it, let us know and we will assist.

3. Deletion (Right to be Forgotten)

You have the right to request deletion of your personal data, subject to certain exceptions. If you no longer want QuantMinds to have your information, you can request that we erase your personal data from our records. We will honor such requests by deleting or anonymizing the information we hold about you,
unless we are required or permitted to keep it for legitimate reasons (see Data Retention above for examples, such as legal compliance or ongoing business needs). For instance, if you ask to delete your account, we will remove your profile and personal details from active databases. However, we might retain transaction records for financial compliance, or keep a note to not contact you if needed for legal reasons. We will inform you of any data we cannot delete and the reasons. Important: Deleting your data is irreversible — if you request deletion, you may lose access to services that require that data. Also, note that content you posted in public community areas (e.g. Slack messages) might remain visible to others even after your personal account data is deleted, unless those messages are also removed. We recommend
manually deleting any community posts you wish to erase before requesting account deletion, or specifying in your request if you want us to try to remove certain posts (to the extent we have control).

4. Objection to Processing

In certain situations, you have the right to object to our processing of your personal information. This applies particularly if we are processing your data based on legitimate interests or for direct marketing. For example, if you are an EU user and you believe our legitimate interest (say, in analytics or improvement) is not sufficient for you, you can object to that processing. If you object, we will reconsider our justifications and either stop or limit the processing or explain why we have compelling grounds to continue (if applicable under law). With respect to marketing, you can object at any time — if you object to direct marketing, we will cease using your data for that purpose immediately. This includes profiling related to direct marketing.

5. Restriction of Processing

You have the right to request that we limit the processing of your personal information in certain circumstances. This is an alternative to deletion, for scenarios such as: you contest the accuracy of the data and want us to verify it; or you objected to processing and we are considering that objection; or we
no longer need the data but you want us to keep it for a legal claim. When processing is restricted, we will store your data but not use it until the issue is resolved.

6. Withdrawal of Consent

Where we rely on your consent to process data (for instance, for sending marketing emails or for placing non-essential cookies), you have the right to withdraw that consent at any time. Withdrawing consent will not affect the lawfulness of processing done before the withdrawal. Examples: 

● If you consented to our newsletter, you can click the “unsubscribe” link in any marketing email or adjust your email preferences to opt out. We will then stop sending you promotional communications. (Please note you may still receive transactional emails related to your membership or use of services, as those are not based on consent but on our contract with you.) 

● If you gave consent for cookies/tracking, you can revisit the cookie settings (via our cookie banner or your browser settings) to revoke consent for those categories. We will then stop collecting data via those cookies. You can also delete existing cookies from your browser to remove any already placed. 

● If at any point we ask for consent for something like a new feature (say, using your testimonial on our site) and you change your mind, you can contact us to withdraw consent and we will cease that use.

7. Do Not Sell, Share, or Target (Enhanced Privacy Rights)

We do not sell personal information, share personal information for cross- context behavioral advertising, or process personal information for targeted advertising. However, you have comprehensive rights to control your data:
